OneDrive for Business file restore restores the wrong version for former employees: Fix Guide

Recovering the right version from a former employee’s OneDrive requires two decisions: how to obtain authorized access and which document content the business needs. Do not select a recovery date merely because it matches license removal or the employee’s last working day.

Confirm the identity and storage state

Have the offboarding administrator verify the user principal name and actual OneDrive URL. Similar display names, renamed accounts and copied handover folders can lead to inspection of the wrong location. Record which account or site recovery actions have already occurred.

License removal and account deletion are distinct events. Follow Microsoft’s OneDrive lifecycle guidance rather than assuming license removal creates a frozen recovery snapshot. Keep sign-in restrictions and applicable records controls intact.

Recover access only when required

If the site is inaccessible, an authorized administrator should determine whether it is retained, archived or deleted. Disappearance from the Deleted users list does not by itself establish that all OneDrive data is unrecoverable. Use the deleted-site recovery procedure when that is the actual state.

Do not use an assumed “Create restore point” button as part of offboarding recovery. Access recovery should not be confused with replacing existing file content or re-enabling a former employee’s ability to sign in.

Define the correct business revision

Ask the receiving owner what the document must contain: the submitted proposal, approved figures or final handover notes. Capture the approval evidence and relevant dates. A revision created after departure may be valid work by a delegate, not an error to remove automatically.

Preserve current documents and authorized local copies in an approved independent location. For each existing file, inspect historical candidates and compare the required content before restoration. For an absent file, check deleted-item recovery instead.

Handle mixed-date handovers deliberately

A handover package can legitimately contain documents completed on different days. Do not force all files to one date because they belonged to the same employee. Record the selected revision for each important item and validate references between them.

If no single candidate contains every accepted contribution, create a separately reviewed working copy and retain the sources. Distinguish that reconciliation from retrieval of an exact historical original.

Verify the receiving team’s result

Have the new business owner open the agreed files from their destination and check content and authorized access. Record source URLs, selected versions and gaps. Retention changes, paid archive reactivation and disposal of originals need their own approved decisions; they should not be hidden inside a routine content-recovery instruction.
