If a former employee’s recovered OneDrive still shows an incorrect document version, stop treating site recovery as a timestamped file restore. First confirm access to the correct site, then investigate the specific document and its available sources.

Separate administrative recovery from content selection

Ask the administrator exactly what ran and keep the operation time and target URL. The documented Restore-SPODeletedSite command restores a deleted site; it does not accept a time argument to select a document revision.

Do not use the previously suggested Restore-SPOSite -Time approach for SharePoint Online. A command that restores access is not a replacement for examining file versions. If access is still unavailable, follow the current OneDrive administrator recovery procedure and record the actual site state.

Check the right person and document

Verify the user principal name, original OneDrive URL and full document path. Ask whether a handover copy was placed elsewhere or the employee’s account name changed. Compare the document’s contents rather than relying only on its name.

Obtain a description of the missing revision from the receiving business owner. If audit information is available, use it to help establish a timeline; do not treat the last recorded sync event as proof that it contains every final change.

Choose a content recovery path

  1. Preserve the current cloud copy and any authorized device copies independently.
  2. Inspect version history for an existing but incorrect file and compare candidate content with the handover requirement.
  3. For an absent item, investigate deleted items and approved backup sources.
  4. Have the owner approve the candidate before replacing shared content, especially when delegates have made later changes.

Do not reconnect or reset a device that may hold the only newer copy before preserving it. A cloud recovery operation cannot import a change that never reached the service.

Escalate uncertainty without declaring premature loss

A user no longer appearing under Deleted users is not sufficient evidence that their OneDrive is gone. Ask the administrator to investigate the site lifecycle and applicable recovery routes. Likewise, a missing file version is not fixed by repeatedly restoring the entire site.

Keep a concise record of the paths checked, available candidates, exact errors and missing content. Complete the handover only after the receiving owner verifies the agreed documents and access. If a revision cannot be recovered, state that limitation explicitly rather than labeling an older copy as the employee’s final version.
