Quick fix: Watermark on every print page is set in printer driver or document. Check printer settings: Settings → Bluetooth & devices → Printers & scanners → pick printer → Printer properties → Advanced → Printing Defaults → look for Watermark / Stamp / Overlay setting → disable. For HP: HP Printer Assistant → Document Options → Watermark → None.
Watermarks: text or image overlaid on every printed page. Common from printer driver settings (some HP, Brother default), document watermarks (Word, PDF), or third-party print spooler. Find source and disable.
Affects: Windows 11 with various printers.
Fix time: ~10 minutes.
What causes this
Watermark sources:
- Printer driver: option to overlay on every print (e.g., “DRAFT,” “CONFIDENTIAL”).
- Document watermark: Word, PowerPoint, PDF have watermark feature.
- Print server: corporate-managed print servers add watermarks (audit trail).
- OEM utility: HP Smart, Canon utility may add stamps.
- Toner cartridge: some printers add status marks (low toner).
Method 1: Check printer driver settings
The standard route.
- Open Settings → Bluetooth & devices → Printers & scanners.
- Pick the printer.
- Click Printer properties.
- Switch to Advanced tab. Click Printing Defaults.
- In Printing Defaults dialog: look at tabs:
- Layout, Paper/Quality, Finishing, Watermark/Stamp, etc.
- For watermark tab: pick None or Disabled.
- For HP: Watermark dropdown.
- For Brother: Watermark Use tab.
- For Canon: Page Setup tab → Stamp/Background → uncheck Stamp.
- Apply.
- Next print: no watermark.
This is the standard fix.
Method 2: Check document watermark
For document-side watermarks.
- Open the document (Word, PowerPoint, PDF) you’re printing.
- For Word: Design tab → Watermark → Remove Watermark.
- For PowerPoint: View → Master → Slide Master → look for text / image on master → delete.
- For PDF: Open in Adobe Acrobat → Edit → Watermark → Remove.
- For Excel: Page Layout → Background → Delete (if has).
- For chronic in template: edit document template (e.g., normal.dotm in Word).
- For corporate templates: contact IT for clean version.
This is the document route.
Method 3: Check print spooler or third-party
For server / spooler watermarks.
- For corporate environments: print server may add watermark for audit (employee name, date, document name).
- Contact IT to see watermark policy.
- For locally installed spooler / print management software: check those settings.
- For shared printers via network: spool processor may add. Settings → Printer properties → Advanced → pick different print processor.
- For printer’s own toner-low message overlay: some printers indicate low toner with a printed warning on output. Replace cartridge.
- For demo / unregistered printer driver: trial software may add “Trial” watermark. Buy license or use Windows generic driver.
- For OEM utility (HP Smart, Canon PrintStudioPro): check its watermark settings.
This is the spooler / third-party check.
How to verify the fix worked
- Print test page. No watermark.
- Print actual document. Clean output.
- Printing Defaults shows Watermark: None.
- Document watermark removed.
If none of these work
If watermark persists: Server-side watermark: IT-managed. Can’t remove user-side. Use direct USB printing if available. For trial-mode printer driver: full version needed. Buy printer driver license or use Windows generic. For specific app printing: app may have own watermark. Check Print Setup in that app. For demo printing software: PrimoPDF, doPDF demo modes add watermark to PDF output. Buy license. For specific paper / printer settings: heading / footer with date may look like watermark. Disable header/footer in Word Page Setup. For chronic: full reinstall printer driver. Settings → Bluetooth & devices → remove printer → reinstall.
Bottom line: Settings → Printers & scanners → printer → Printer properties → Advanced → Printing Defaults → disable Watermark / Stamp setting. Check document for embedded watermark. Check OEM utility for stamps.
