Fix Teams eDiscovery Search Misses Chat Messages in a Private Channel

When you run an eDiscovery search in Microsoft Purview, chat messages from a Teams private channel may not appear in the results. This happens because private channel messages are stored in a separate mailbox and SharePoint site that require specific configuration. Why Private Channel Messages Are Missing from eDiscovery Searches

Private channels in Teams store their messages in a dedicated mailbox that is separate from the standard group mailbox. Additionally, each private channel has its own SharePoint site. By default, eDiscovery searches in Microsoft Purview are scoped to the main group mailbox and site. Unless you explicitly include the private channel’s mailbox and site, the search will not return those messages.

The compliance boundary feature in Microsoft Purview controls which content sources are searchable in a given eDiscovery case. If the private channel’s SharePoint site is not added to the compliance boundary, the search will skip it entirely. This is a common oversight because the private channel site is not automatically linked to the parent team’s site in eDiscovery.

Another factor is that private channel messages are not stored in the same Exchange mailbox as standard channel messages. The private channel mailbox is a hidden resource that only appears in eDiscovery when you select the correct group. Without the group ID, you may not see the private channel mailbox in the location picker.

Steps to Include Private Channel Chat Messages in eDiscovery Searches

Follow these steps to ensure your eDiscovery search covers private channel messages. You need to be a member of the eDiscovery Manager role group in Microsoft Purview.

Step 1: Locate the Private Channel’s Group ID

1. Open the Microsoft 365 admin center
   Go to admin.microsoft.com and sign in with an account that has Global Admin or Groups Admin permissions.
2. Navigate to Teams & Groups
   In the left navigation, select Teams & Groups, then choose Active teams & groups.
3. Find the team
   In the list, locate the team that contains the private channel. Click the team name to open its details.
4. Copy the Group ID
   In the details pane, find the Group ID field and copy the value. This ID is used to identify the private channel’s resources.

Step 2: Add the Private Channel Site to the Compliance Boundary

1. Open Microsoft Purview
   Go to purview.microsoft.com and sign in with your eDiscovery Manager account.
2. Go to eDiscovery
   In the left navigation, select eDiscovery, then choose eDiscovery (Standard) or eDiscovery (Premium) depending on your license.
3. Open the case
   Select the case where you want to run the search. If you do not have a case, create one by clicking Create a case.
4. Navigate to Compliance boundary
   Inside the case, select the Settings tab, then click Compliance boundary.
5. Add the private channel site
   Click Add and enter the URL of the private channel’s SharePoint site. The URL format is https://yourtenant.sharepoint.com/sites/PrivateChannelName-{GroupID}. Replace {GroupID} with the ID you copied in Step 1.
6. Save the boundary
   Click Add and then Save to apply the change. Wait a few minutes for the boundary to take effect.

Step 3: Include the Private Channel Mailbox in the Search Scope

1. Create or edit a search
   In the same eDiscovery case, go to the Searches tab and click New search or edit an existing search.
2. Select locations
   In the search wizard, under Locations, choose Specific locations.
3. Add the private channel mailbox
   Click Exchange mailboxes, then Choose mailboxes. In the search box, paste the Group ID. Select the mailbox that appears with the private channel name.
4. Add the private channel site
   Click SharePoint sites, then Choose sites. Enter the same site URL you used in Step 2 and select it.
5. Run the search
   Complete the wizard, then click Search. Review the results to confirm that messages from the private channel now appear.

If Private Channel Messages Still Do Not Show Up

Search Results Are Empty but the Mailbox Was Added

If you added the private channel mailbox and site but still get no results, the content may not be indexed yet. Private channel messages are indexed only when the channel is active and users have posted messages. Check that the channel has recent activity. If the channel was created recently, wait up to 24 hours for indexing to complete.

Cannot Find the Private Channel Mailbox in the Location Picker

The private channel mailbox appears only if you search by the Group ID. If you type the team name, the picker may not show the private channel mailbox. Use the Group ID exactly as copied from the admin center.

Compliance Boundary Changes Do Not Take Effect

Compliance boundary updates can take up to 30 minutes to propagate. If you run a search immediately after adding the site, it may still miss the content. Wait at least 30 minutes and rerun the search.
