Workspace Studio can expose flows inside Gmail and Chat, but seeing a workflow suggestion is not proof that an automation is already running or that your account is authorized to use every connected service. Check access and the flow’s actual state before relying on it.
Inspect the Workspace Studio entry point
On a supported desktop Gmail interface, look for the Workspace Studio icon and side panel. The dedicated guide describes Discover for suggested flows, My Flows for active flows, and Activity for execution results. The full editor is available through Do more in Studio.
If the icon is missing, verify the selected account and the organization’s current Studio access policy. Do not install a similarly named third-party extension or assume that an unrelated Gemini subscription grants all automation permissions.
Review the flow before enabling it
Identify the triggering event, the source data, the destination, and the account under which actions run. A flow that drafts a reply is different from one that sends email or shares information with another service. Read the requested permissions and any approval step.
For a reusable skill inside Ask Gemini, Google’s guide says the skill must first be created and turned on in Workspace Studio. Typing a skill name in Gmail does not establish that a valid, enabled skill exists.
Confirm a limited test in Activity
Use a harmless test and inspect the resulting action, not just the flow’s enabled indicator. A red badge can mean an error or an approval request; open the relevant detail instead of repeatedly enabling the flow.
Keep the test narrow and avoid processing historical mail unintentionally. If the flow changes or sends information, verify the actual destination and provide a clear way to stop subsequent runs. Follow the organization’s data policy for connected services. A successful test does not establish that every future message will satisfy the same conditions.
