Choose an email automation method by the task it must perform, the identity under which it runs, and the permissions it needs. Gmail API, Apps Script, and SMTP are different interfaces, not three ways to bypass the same account restrictions.
Use the Gmail API for a dedicated application
The Gmail API provides methods for mailbox operations such as searching messages, managing labels, working with drafts, and sending. A dedicated application can request scopes appropriate to its actual operations and handle authorization, quotas, and synchronization explicitly.
It also needs an appropriate OAuth implementation and secure credential storage. A narrow send-only use case should not automatically request permission to read or permanently delete all mail.
Use Apps Script for a bounded Workspace workflow
Apps Script can be useful when a small approved process connects Google services. Choose MailApp when the job only needs to send mail; it cannot read the user’s Gmail inbox. GmailApp supports broader mailbox operations and has different authorization implications.
Check execution identity, trigger behavior, daily recipient quotas, and execution-time limits. A script that works in a manual test can run under the trigger creator’s account later. That distinction matters for both access and the sender.
Use SMTP for the supported sending protocol
SMTP is an email-sending interface, not a Gmail message-search or label-management API. Follow Google’s current authentication guidance and your organization’s policy. Do not assume that an ordinary interactive password can be embedded in any legacy client, or disable account protections to make it work.
Before implementation, write down the required action, data accessed, sender identity, expected volume, and recovery method. Test with harmless content and controlled recipients. All three approaches still require safe retry handling: if the outcome of a send is uncertain, investigate before replaying it. Choose the smallest approved interface that meets the requirement rather than the one with the broadest permissions.
