Review Broader Google Calendar Permissions Before Relying on a Narrow Grant

A narrow individual Google Calendar grant does not necessarily reduce access already available through a broader calendar permission. Review the whole permission context before claiming that someone can see only availability. The person’s effective view can depend on public or organization-wide access as well as event visibility.

Inspect all access routes

On a computer, open the calendar’s Settings and sharing. Review Access permissions for events and the entries under Shared with. Identify public, organizational, and individual grants rather than checking only one person’s dropdown.

Interpret conflicting grants correctly

Google’s permission guidance gives the example of a public event-details calendar and a separate Free or Busy grant to one person. The public details permission still applies to that person. A narrower individual entry is not a denial rule overriding wider access.

Keep individual Private visibility separate from this example. Google’s current visibility guidance explains its interaction with stronger permissions and default entries; do not simplify the rule into a claim that every private event becomes public.

Verify the intended reduction

If access needs to be narrowed, change the relevant wider setting through the authorized owner or manager and inspect the actual recipient view. Review affected collaborators before making a broad calendar change. A saved narrow dropdown is not sufficient evidence of reduced exposure when another route remains open. Check representative event details, related resource or guest context, and the documented propagation period where applicable. Describe the result in terms of the access paths actually reviewed, not as guaranteed retrieval of information already seen or copied.
