Gmail filters apply actions to incoming mail that matches defined search criteria. Build the search first, then choose the action. Starting from an existing message can save typing, but its suggested condition still needs review before you create a rule.
Create a filter from a tested search
- On a computer, open Gmail’s Show search options.
- Enter a specific sender, subject, or other supported condition.
- Click Search and inspect representative matches.
- Return to the search options and choose Create filter.
- Select the intended action and confirm the filter.
For an initial test, apply a distinctive custom label while leaving the message in Inbox. This makes the rule’s effect visible without deleting, forwarding, or hiding mail.
Start from an existing message
Select the message in the list, open More, and choose Filter messages like these. Review the populated fields. A rule based on the sender may match all of that sender’s messages, not just the one topic that prompted you to create it.
Check a message that should match and one that should remain untouched. If a provider sends both essential notices and newsletters from similar addresses, a sender-wide rule may be too broad.
Verify new deliveries and historical scope
Read the option for applying the filter to existing matching conversations if it is offered. Without a separate historical action, a new incoming-mail rule should not be assumed to reorganize every old result.
Google notes that forwarding filters affect only new messages. It also states that a reply is filtered only if that reply meets the same search conditions. Thread membership is not a substitute for a match.
Test with harmless new mail, then inspect the actual message labels and location. Record the rule’s purpose and review Filters and blocked addresses before adding a similar one. Avoid Delete it, automatic forwarding, and Never send it to Spam until the matching conditions and business need have been deliberately verified.
