A Gmail message can have several custom labels at once. This is useful when one email belongs to both a project and an action queue. Applying another label does not create another copy of the message or remove its existing labels unless you explicitly clear them.
Apply multiple labels on the web
- Open Gmail on a computer and select the intended message or conversation.
- Click Labels in the toolbar.
- Select the labels you want while leaving the existing desired labels selected.
- Apply the selection and inspect the label names shown for the message.
For example, a receipt can carry both Travel and Expenses. Open each label view and confirm that the same message appears. Its sender, date, and content should remain unchanged.
Understand conversation-level appearances
With conversation view enabled, a thread can display labels associated with messages inside it. Google notes that labels applied to existing messages do not automatically extend to new replies. A later reply appearing without the same label is therefore not necessarily a lost setting.
If consistent labeling of future mail matters, create a narrow filter that matches the intended new messages. A filter should be tested against the actual sender or other stable condition, not merely against a broad word shared by unrelated messages.
Remove a classification without deleting mail
To remove one label, open the Labels selection and clear only that label. Confirm that the other labels remain. Do not use Delete simply because you are viewing the message under a label you no longer want.
There is one underlying message, so deleting it affects all its label views. Labels also do not add independent storage copies, and removing one does not reduce the size of an attachment.
If a connected mail client presents labels as folders, verify its move and delete semantics before making a bulk change. Use Gmail’s web label controls for a clear first test, then check that the same organization is represented correctly in your other trusted clients.
