Add Co-Hosts and Explicitly Review Their Calendar Availability

Adding co-hosts to a Google Calendar appointment schedule does not automatically verify their availability. Google’s guidance says co-host availability is not checked by default. Review participation, notifications, and calendar conflict checking as separate parts of a shared booking workflow.

Add the intended participants

On a computer, create or edit the Appointment schedule and inspect the co-host section when available. Enter verified user or group addresses through the supported controls. Google’s setup guidance restricts adding users and groups outside your domain as co-hosts.

Review availability explicitly

Inspect Calendars checked for availability rather than relying on the co-host list. An eligible subscription can provide additional calendar checks, subject to the schedule’s calendar and account restrictions. Confirm the actual calendars the configuration can access and select those needed for the appointment.

Do not broaden a colleague’s calendar permissions unnecessarily to remove a setup warning. Availability-only access and detailed event access have different privacy implications, and the supported booking configuration still needs to be checked.

Verify the shared arrangement

Save and inspect the visitor page around a known relevant commitment. Confirm who receives booking notifications in the actual primary or secondary calendar arrangement. A co-host address in the editor is not proof that the person’s Busy time blocks the page or that they accepted a particular booking. Coordinate responsibilities for cancellation, follow-up, and unexpected conflicts before distributing the link. The completed setup should identify both the people participating and the calendars actually consulted, without describing a co-host list as an automatic multi-person availability guarantee.
