After an employee leaves, separate three decisions: stopping their access, retaining historical data, and handling future business mail. One account-status change does not automatically solve all three.
Secure access through the offboarding process
Confirm authorization with the organization’s responsible owner. Use the supported account, session, and application-access controls rather than passing the former employee’s password to a replacement.
Administrator suspension preserves existing data but blocks the user’s service access and new email and calendar invitations. It is not a general-purpose method for continuing a business mailbox unchanged. Google-imposed restrictions can behave differently.
Choose an explicit retention model
Review retention rules, legal holds, licenses, and the edition’s archived-user options before removing a license or deleting an account. Google documents archived accounts as a way to retain data while preventing the former user from signing in.
Current archiving options and delegate behavior vary by subscription and the available Admin console workflow. Do not assume every archived mailbox continues receiving normal mail or every archive arrangement includes Vault. Verify the documented behavior for the selected option.
Handle future correspondence deliberately
Choose an approved alias, address-map or routing arrangement, shared mailbox, or sender notification according to business need. Review who may receive future messages and whether they are authorized to see historical correspondence too; those are different permissions.
Test mail from an external sender after the change and verify where it arrives or what notice is returned. Do not enable a catch-all or redirect the entire domain for one departure. Keep a record of the former address, new contact, retention owner, access list, and review date. Removing an old address too early can lose legitimate requests, while silently handing it to someone else can expose private correspondence. Reassess the arrangement when the handover period ends.
