A company footer added after you send a Gmail message may be controlled by the Workspace administrator. It is separate from the personal signature you can edit in Gmail’s own settings.
Confirm when the footer is added
Compare the compose window with the delivered message seen by an authorized recipient. An administrator’s Append footer rule can add text to outgoing mail even when that text was not part of the editable draft.
Check whether the extra text is your personal signature, quoted history, a group footer, or an organization-wide footer. Those sources have different owners and controls. Do not keep deleting your signature if the same separate text is appended again after sending.
Ask the administrator to inspect the rule
Workspace administrators with the Gmail Settings privilege can review Apps, Google Workspace, Gmail, Compliance, and Append footer. Rules can be inherited through organizational units and can apply to aliases as well as primary addresses.
Google documents a choice to append the footer to internal messages too. Plain-text messages receive a plain-text version rather than rich formatting, and the Append footer feature does not support Gmail client-side encrypted messages. Those differences can explain inconsistent appearances.
Correct the narrow source of the problem
For an outdated company address, broken image, or duplicated disclaimer, provide a redacted delivered example, sender address, and internal or external recipient context. The administrator should inspect overlapping rules and inheritance before editing the relevant footer.
Do not attempt to remove legally required text through another mail client or an unofficial extension. A change can affect everyone in the rule’s scope. After an authorized correction, test a harmless external message and any relevant alias or plain-text route. Record the previous rule and result so the organization can verify that only the intended footer changed and that ordinary delivery still works.
