In Gmail, Label as adds a classification while a message can remain in the inbox. Move to is the action to choose when you intend to change its location in the visible workflow. Inspect the result rather than assuming labels behave like exclusive folders.
Use Label as when Inbox should remain
Select a message on the web, open Labels, and apply a custom label. If the message also retains Inbox, it can appear both in the inbox and under the custom label. That is expected and does not mean the label failed.
A message can carry several custom labels. Adding Project does not necessarily remove Receipts or another existing classification. Check the selected labels before applying changes to a large batch.
Use Move to or Archive for the intended outcome
When working from Inbox, Move to lets you place selected mail under a chosen destination label while taking it out of the inbox workflow. Check that the intended label is applied and that Inbox is no longer present.
If you only want to remove the inbox location and keep the existing organization, use Archive. The message remains available in All Mail and under its other labels. A later reply can bring an archived conversation back to the inbox.
Verify one message before a bulk reorganization
- Choose a harmless example carrying two labels.
- Try the intended action and inspect it through Inbox, the destination label, and search.
- Confirm which labels remain before repeating the action on important mail.
Conversation view can make the result look broader than a single email, especially when a new reply arrives with different labels. Open individual messages if the thread’s label display is confusing.
Do not use Delete to make mail disappear from Inbox when you want to retain it. Likewise, do not assume that another client’s folder operation has identical semantics to Gmail’s toolbar. A small verified test is safer than moving thousands of messages based on the name of an unfamiliar icon.
