Notion Offline Mode: What Works and What Does Not

Reviewed against official documentation on October 16, 2026.

Notion supports deliberate offline downloads, not just whatever happens to remain in a cache. You can also create new pages offline. The practical question is whether the pages and features you need have been prepared on the device you will actually use.

This guide is a preparation checklist, not a promise that your whole workspace will work without internet. Test a small, non-sensitive example before relying on offline access for a trip or deadline.

Who can use offline pages

Workspace members on all plans can use offline pages in Notion’s desktop and mobile apps. The web browser does not provide this feature. Paid plans additionally download recently visited and favorite pages automatically. These are separate conveniences: manual downloads do not require a paid plan.

Use the official offline documentation as the source for feature changes. Do not interpret a page that happened to stay visible in a disconnected browser as supported offline access.

Prepare pages on a desktop computer

  1. While connected, open the page in the desktop app and check that it is the intended workspace and version.
  2. Open the page’s ••• menu and turn on Available offline.
  3. Wait for the download progress to finish. Visit Settings → Offline to inspect your downloads.
  4. Repeat for important subpages: downloading a parent does not include them automatically.

Make a short list of the pages needed for the task. A checklist is more reliable than assuming that everything you browsed earlier has been prepared. If a download has not finished, postpone disconnecting or arrange another approved way to carry the essential information.

Prepare and test the mobile device separately

Use the page menu in the mobile app to download the required pages while connected. Downloads are specific to each device, so preparation on your computer does not prepare your phone. Confirm completion on the phone itself.

After protecting existing work, briefly test without connectivity on a disposable page. Check that the page opens, that a simple edit remains visible, and that the change appears from another connected device after you reconnect. Restore connectivity after the test. If you need a particular attachment or embedded resource, test that exact resource rather than assuming it will behave like text.

What you can do offline

You can create pages and edit downloaded pages using essential blocks. Downloading a database includes the first 50 rows of its first view; download additional important rows individually. Do not assume the entire database is available.

For a meeting, prepare the actual rows and pages you expect to consult, not only a dashboard that links to them. Use a small practice database to check your intended workflow before making a critical change offline. Keep notes of any values you will need to reconcile with colleagues later.

What still needs a connection

External embeds, AI blocks, forms, buttons, sharing, and permission changes need connectivity. Check the app’s available block options instead of relying on an old blanket claim that all database work or all page creation is impossible.

Plan an alternative for the unavailable part of the task: draft the text now, then perform the online action once connected. Do not promise a colleague that a newly written offline note is already visible to them. Nor should a downloaded page be treated as an independent archival backup of a workspace.

Reconnect and review changes before cleaning up

Reconnect and compare important work from another connected device. Notion attempts automatic text-conflict resolution, but competing non-text edits can leave only one value saved. Coordinate work on shared properties and check the intended result with collaborators.

If a change does not arrive, preserve the original content before troubleshooting. Do not clear app storage, uninstall, sign out, or remove downloads while they may hold the only accessible copy. See the cross-device sync checklist to distinguish missing downloads from missing edits.

A practical offline readiness checklist

  • The actual device and app have been tested, not just another computer.
  • Every essential page, subpage, and database row opens without a connection.
  • Tasks requiring online services have a separate plan.
  • Collaborators know which information may not yet be synchronized.
  • A reconnect test confirms that a harmless new edit reaches another device.

If one of these checks fails, narrow the offline task instead of resetting the app on the assumption that downloads are broken. Preserve any unique work and consult the official guide or support before removing local data.
