A Google Account handover should transfer the specific work or asset that another person needs, not expose your personal password, passkeys, or recovery codes. Start by identifying whether the need concerns mail, files, a brand channel, or planning for future inactivity.
List the assets and the intended access
Record the mailbox, documents, channel, subscriptions, and outside services involved. Mark which belong to an organization and which are personal. Giving someone one service’s permissions does not automatically transfer the whole Google Account or every item associated with it.
For work or school accounts, involve the administrator before a departure. Use the organization’s approved transfer and retention procedures. Do not copy confidential work into a personal account or substitute a colleague’s recovery phone for your own as an informal ownership change.
Use the access model for the task
- Mail assistance: Where supported, Gmail delegation lets someone read, send, and delete mail without knowing your password. This is substantial mailbox access, not a view-only role.
- Brand assets: Review the Brand Account’s actual owners and any separate YouTube channel permissions. A routine collaborator role differs from primary ownership.
- Future absence: Inactive Account Manager can notify contacts or share selected data after inactivity. It is not immediate collaboration access.
For files and other services, use their supported sharing or ownership controls and check any account-type restrictions. Do not assume a downloaded copy preserves all permissions, comments, links, or entitlements.
Verify before removing the old route
Have the recipient sign in through their own account and perform an appropriate non-destructive check. Confirm the correct mailbox, channel, or asset, not merely that an invitation arrived. Keep the original owner’s necessary access during a planned transition until the result is verified.
Record the permissions and any remaining billing or recovery dependencies, then reduce obsolete access deliberately. Avoid deleting a departing person’s account before ownership and continuity have been resolved. Password sharing can expose unrelated information and leave no clear separation between the people acting. An asset-specific handover provides a clearer record of who can do what.
