For a Gmail backup, request a Mail export from Google Takeout rather than downloading every Google product by default. Plan where the archive will be stored and how you will read it before starting. An export copies data; it does not remove the original mailbox.
Choose the mailbox and mail scope
- Open
takeout.google.comand verify the account address. - Deselect products you do not need, then select Mail.
- Open the included-data selector for Mail and review all-mail or label choices actually offered.
- Continue to the export options, choose the destination and archive settings, and create the export.
If you want a complete mailbox copy, do not limit the selection to Inbox just because that is where you normally read mail. If you want only selected labels, note that scope in your backup record so you do not later mistake a partial export for a full one.
Make the resulting files usable
The archive container, such as ZIP, and the mail format inside it are different layers. After downloading and extracting the archive, inspect its Mail files and included format guidance. A Gmail MBOX file needs a compatible mail reader; renaming it to PDF or ZIP does not convert the messages.
Google preserves labels in an X-Gmail-Labels header. That does not guarantee a different mail program will recreate every Gmail label as a folder. Check the reader’s behavior before planning a migration around the appearance of the export.
Verify the backup before relying on it
Keep a note of the account, request date, selected products, selected labels, and delivered archive files. Open representative messages from different periods and check attachments that matter to you. A successful download alone does not show that you selected all the data you intended.
Keep the original archive and a separate working copy in access-controlled storage. If you eventually plan to delete the Google Account, do not leave the only backup inside that same account’s Drive. For work or school mail, confirm that downloading is permitted by the organization and its data-handling rules. Never use an export as a reason to delete the live mailbox before you have checked that the copy is complete and readable.
