What Gemini can use in Gmail depends on the feature, available sources, account permissions, and data controls. Asking a question about one email does not by itself describe every possible source the tool may use for context.
Inspect the sources for the actual conversation
Where available, open the source controls and review selected files and search locations. Google’s source guidance explains that selected sources, enabled app data, and context from the current conversation can affect a response. A file added earlier can remain relevant to later turns.
Access permission still matters. Adding a Drive file as a source does not grant you permission to read a file you cannot otherwise access. If the owner has not authorized access, request the information through the normal sharing process rather than broadening permissions for an AI test.
Keep Workspace and other Google AI products distinct
Google’s Workspace privacy guidance says Workspace data is not used to train underlying generative models outside Workspace without permission. It also distinguishes data you deliberately share with Gemini Apps, Search services, or screen actions under those products’ own policies.
Those distinctions matter for personal accounts, managed work accounts, Google AI plans, and experiments. Do not turn a statement about Gemini inside Gmail into a promise that every screenshot or copied email sent to another AI service has the same handling.
Use the minimum context needed
Check which smart-feature controls the intended feature requires and read their data-use explanations. For work information, follow your organization’s policy before including confidential mail or files in prompts.
Review citations to see which sources contributed, and start a fresh conversation with appropriate source choices when you need to exclude earlier context. Removing an item from the visible source list does not justify claiming that every previously processed copy or product history has disappeared. Use the specific product’s documented controls for those separate questions.
