Share a Google Meet Recording with Deliberate Drive Permissions

A Google Meet recording is a Drive file with its own sharing settings. Sending its URL does not always give the recipient permission to watch it. Review the intended audience before sharing, especially when the recording includes personal details, internal screens, or a discussion beyond the original presentation.

Open the original file’s Share dialog

Locate the recording in the organizer’s Drive or use its trusted email link. Select the file and choose Share. Confirm that you are editing the correct session’s permissions. If you are only a viewer, ask the owner or an authorized editor to handle sharing. Work and school administrators may restrict external sharing even when the owner wants to invite an outside recipient.

Grant the access the audience needs

Enter the specific recipients’ email addresses and choose an appropriate role, usually Viewer for people who only need to watch. Review General access as well. Restricted limits access to people who have been granted it; Anyone with the link broadens the audience substantially. Check inherited folder access because a file can already be accessible through its parent folder. Copying a link does not narrow existing permissions.

Verify viewing and download expectations

Save the sharing change and send the final link through the agreed channel. Ask a recipient to open it under the intended identity and confirm the correct recording plays. Viewing permission and download availability are separate settings, so check organizational requirements before promising an offline copy. A successful test from the owner’s account proves only the owner’s access. Keep the original file’s ownership separate from attendee shortcuts and downloaded copies, and review permissions again if the audience changes after the meeting.
