Automatic captions can help a Google Meet conversation, but accessible participation may also require interpreters, usable documents, clear turn taking, and a reliable way to contribute. Plan around the participants’ stated needs. Do not assume one feature provides the same access for hearing, vision, motor, speech, and processing requirements.
Agree on the participation methods beforehand
Ask participants which communication and navigation methods work for them through an appropriate private channel. Provide an agenda and accessible presentation material early enough for review. Google’s accessibility guidance describes meeting attachments, screen-reader support, keyboard controls, chat, and captions as different tools. Check which ones are available in the account and platform used for this meeting.
Prepare the visual and written channels
If a sign language interpreter is attending, discuss an arrangement such as Meet’s tile-pairing feature so the participant and interpreter can remain identifiable together. Test the required view before the discussion. For people contributing through chat, appoint someone to notice and read relevant contributions into the discussion when agreed. A message channel helps only when the group actually pays attention to it.
Verify access while the meeting runs
Begin with a short check that participants can hear, read, navigate, and contribute using the planned methods. Speak one at a time and confirm important names, figures, and decisions in an accessible written form. If later review is required, arrange an eligible transcript, recording, or other approved record separately; live captions are not automatically a permanent document. Recheck access when moving into presentations or breakout activities. If a required accommodation fails, pause the affected task and use the agreed alternative instead of continuing on the assumption that everyone can catch up later.
