How to Pin Frequently Used Teamspaces in the Notion Sidebar

When you work in a large Notion workspace with multiple teamspaces, the sidebar can become crowded with items you rarely use. You want your most important teamspaces visible at all times without scrolling past less relevant sections. Notion allows you to pin specific teamspaces to the top of the sidebar for quick access. This article explains how to pin and unpin teamspaces on desktop and mobile, what happens when you pin a teamspace, and how to manage your pinned list effectively.

What Pinning a Teamspace Does and Does Not Do

Pinning a teamspace moves it to a dedicated Pinned section at the top of your Notion sidebar. This section appears above the main list of teamspaces, separated by a thin dividing line. The pinned teamspace remains visible even when you collapse other teamspace groups. Pinning does not change permissions, rename the teamspace, or affect any pages inside it. You can pin up to 10 teamspaces on the Free plan and up to 20 on Plus, Business, and Enterprise plans. Pinning only affects your own sidebar view — other workspace members see their own pinned list. If you unpin a teamspace, it returns to its original position in the alphabetical list below the pinned section.

Steps to Pin a Teamspace in the Notion Sidebar on Desktop

1. Open Notion on your desktop app or web browser
   Make sure you are signed into your workspace. The sidebar is visible on the left side of the screen. If the sidebar is hidden, click the hamburger menu icon in the top-left corner or press Ctrl + Shift + S to show it.
2. Locate the teamspace you want to pin
   Scroll through the sidebar until you find the teamspace name. Teamspaces appear with a small icon next to them, such as a building or a globe.
3. Hover over the teamspace name
   When you hover, a three-dot menu icon appears to the right of the teamspace name. Do not click the teamspace name itself — that opens the teamspace.
4. Click the three-dot menu icon
   A small dropdown menu appears with several options.
5. Select Pin to Top
   The teamspace immediately moves to the Pinned section at the top of the sidebar. You can now access it with one click without scrolling.

Steps to Pin a Teamspace on the Notion Mobile App

1. Open the Notion app on your iPhone or Android device
   Tap the sidebar icon in the top-left corner (three horizontal lines) to expand the sidebar if it is not already visible.
2. Find the teamspace you want to pin
   Scroll down the sidebar until you see the teamspace name. Teamspaces are listed below the Private section and above any shared pages.
3. Tap and hold the teamspace name
   A context menu appears after a moment. Do not tap the teamspace name briefly — that opens the teamspace.
4. Tap Pin to Top in the menu
   The teamspace moves to the Pinned section at the top of the sidebar. The Pinned section appears above all other teamspaces.

How to Unpin a Teamspace

1. Locate the pinned teamspace in the Pinned section
   The Pinned section is at the very top of the sidebar, above the dividing line and the main teamspace list.
2. Hover over the teamspace name (desktop) or tap and hold (mobile)
   On desktop, the three-dot menu icon appears. On mobile, a context menu appears after holding.
3. Select Unpin from the menu
   The teamspace moves back to its original alphabetical position in the main teamspace list below the Pinned section.

Managing Multiple Pinned Teamspaces

Pinned teamspaces appear in the order you pinned them, with the most recently pinned teamspace at the bottom of the pinned list. You cannot manually reorder pinned teamspaces by dragging them. To change the order, unpin all teamspaces and pin them again in your preferred sequence. The first teamspace you pin appears at the top of the pinned section. If you pin a teamspace that is already pinned, nothing changes — the teamspace stays in its current pinned position.

Limitations and Things to Avoid

Pinning does not work for pages inside a teamspace

You can only pin entire teamspaces, not individual pages within a teamspace. To quickly access a specific page, use the Favorites feature instead. Click the star icon next to any page name to add it to your Favorites list at the top of the sidebar.

Pinning is not available for the Private section

You cannot pin the Private section or individual pages inside it. The Private section always stays in its default position below the Pinned section. To access Private pages faster, star them as favorites.

Pinning does not sync across devices

Pinned teamspaces are stored locally in your browser or app cache. If you sign into Notion on a different computer or device, you need to pin your teamspaces again. This applies to both desktop and mobile versions.

Pinning a teamspace is the best choice when you need the entire teamspace visible without scrolling. Use Favorites when you need one specific page from a teamspace that you do not want to pin. The Recent section is useful for temporary navigation but does not persist after you close Notion or clear your history.

If Pinning Does Not Work on Desktop

The three-dot menu does not appear

Make sure you are hovering directly over the teamspace name text, not the icon or the empty space to the right. If the menu still does not appear, refresh the page (F5) or restart the Notion desktop app. This usually resolves a temporary UI glitch.

The Pin to Top option is grayed out

You can only pin teamspaces that you are a member of. If you have View-only or No Access permissions, the option may be disabled. Contact your workspace admin to request membership in that teamspace.

Pinned teamspace disappears after refresh

This can happen if your browser or app has a corrupted cache. Clear the Notion cache by going to Settings & Members > Notifications & Settings > Clear Cache. Then restart Notion and pin the teamspace again.

If Pinning Does Not Work on Mobile

Tap and hold opens the teamspace instead of showing the menu

Tap and hold firmly for about one second. If you release too early, Notion interprets it as a tap and opens the teamspace. Try again with a longer press. If the problem persists, close the app completely and reopen it.

Pin to Top option is missing from the context menu

Update the Notion app to the latest version from the App Store or Google Play Store. Older versions of the mobile app do not support pinning teamspaces.

You can now pin your most-used teamspaces to the top of the Notion sidebar on both desktop and mobile. Start by pinning your primary work teamspace and your reference teamspace.
