If Notion AI cannot find information shown in a linked or synced view, do not begin by duplicating all its rows or deleting the view. First establish what the view contains, whether your account can open the actual record, and which AI feature is failing.
A missing answer does not prove that all linked or synced content is invisible to AI. Nor does a successful summary prove that every record was searched.
1. Identify what is actually linked or synced
- Linked Notion data source: another view of an existing source, not a frozen copy. In the database’s slider menu, inspect Manage data sources and the Linked section. Source-page edits affect the original, while view filters can differ. See linked data sources.
- Synced block: shared block content updated across its instances. Its Editing in list identifies the original location. See synced blocks.
- External database sync: imported records maintained by a connection. This is different from an AI Connector that makes another app searchable.
Record which of these you have before following a repair guide. A page containing an external link is also not evidence that its target’s contents have been imported.
2. Check the record and permissions without changing them
Choose one missing item with a known title or identifier. Open the original record directly and confirm that the expected text is present. Compare it with what the view displays. This separates a missing-data problem from a missing-AI-answer problem.
A native linked data source retains the original database’s access rules; sharing its containing page is not enough. Likewise, viewing a synced block requires access to the original page. If you lack legitimate access, ask the source owner to review that specific case. Do not publish the source or grant broad access as a test.
External sync has a different privacy boundary: Notion sharing controls the imported database. Its readers may see records unavailable to them in the source app; revoking source access may stop updates without removing existing imports. Review the managed-sync guidance before sharing imported records.
3. Test the AI feature with a specific source
For a personal Agent test, open the original page and reference it explicitly. Ask for one stated fact and a supporting reference, not a workspace-wide analysis. Personal Agent uses your permissions; it cannot repair missing access for you. See the Agent documentation.
In Enterprise Search, verify the selected source and model. Notion documents support for database views and properties, but warns that some model choices use only web information. A web-only response cannot diagnose workspace retrieval. See Enterprise Search.
If this small test succeeds but a large summary omits records, narrow the question and compare the returned evidence with your expected record list. If the issue concerns database Autofill rather than chat, record that distinction; do not assume a chat-source change repairs a property configuration.
4. Repair the confirmed problem, not the whole database
For managed external sync, inspect Settings → Connections → your connection → Database sync settings. Check status, selected sources, history coverage, initial import progress and connected-account permissions. An expired authorization calls for the connection owner’s targeted review, not replacing every view.
Do not shorten a sync’s history window just to simplify an AI query. It can remove imported pages, including custom property values. That is different from hiding records with a view filter. Consult the matching connection guide before changing retention or source selection.
Do not delete or unsync original blocks as a retrieval test either: this can affect other copies, with cases where Undo does not restore them. Avoid bulk duplication, which creates a second version to maintain without proving the cause.
If the record is present, readable and correctly selected but the answer still fails, collect a redacted example: feature used, source type, record identifier, time, exact question and observed result. Give that evidence to your workspace owner or Notion support. There is no documented universal “Rescan Database” fix or guaranteed wait that resolves every source type.
