Gmail can insert available meeting times into a message so a recipient can book a slot. Availability depends on your account’s current scheduling feature, and the simple offering workflow is designed for one-to-one meetings.
Check which scheduling option your account has
Google’s current Offer times to meet guidance specifies personal Gmail accounts and Workspace Business Starter. It directs accounts with other Workspace subscriptions or Google AI plans to the separate Help me schedule feature.
Do not assume every account shows the same compose control or that a missing button means Calendar is broken. Check the documented option for the account you are actually using.
Insert and review the available slots
On a computer, create or reply to an email in Gmail. At the bottom, choose Set up a time to meet, then Propose times you’re free. If the control is hidden, inspect More options.
Select the duration and suitable times in the calendar grid, then continue and review the title, description, and conference option. Add the availability to the email and check the recipients before sending. The feature uses your primary calendar.
Understand the booking result
Google says the offered slots remain bookable for 30 days. For this one-to-one workflow, if the email has multiple recipients, only the first person who books joins the generated event; additional participants need to be added separately.
After a booking, verify the created event, time zone, guests, and conference details. Proposed and confirmation times can be shown in each participant’s zone. Review guest permissions too: Google’s documented default includes seeing the guest list. Do not offer sensitive event descriptions or assume the tool finds consensus for a whole team. If you need a different scheduling model, use the appropriate supported Calendar or account feature rather than sending the same one-to-one booking to a large group.
