To forward only selected Gmail messages, use a narrowly tested filter with a verified forwarding destination. Leave all-mail automatic forwarding off if it would send messages outside the intended scope. A filter can disclose private content, so match precision matters.
Verify the destination and matching condition
Add the approved destination through Gmail’s forwarding settings and complete its confirmation. Then build a search for the exact type of mail you intend to send there.
Check positive examples and similar messages that must remain private. Sender display names, broad domain terms, and common subject words can produce a wider match than expected. Begin with a visible label-only rule when testing new criteria.
Create the selective forwarding rule
- Open the tested search options in Gmail on a computer.
- Choose Create filter.
- Select Forward it and the verified destination.
- Review other selected actions before confirming.
- Use a harmless new matching delivery to test the route.
Google states that forwarding filters affect new messages. Applying a filter to existing conversations should not be represented as a way to forward the entire old result set retroactively.
Verify both matches and exclusions
Check that the intended destination receives the harmless matching example and that an appropriate nonmatching example remains unforwarded. Inspect the source copy and any other forwarding rules.
A new reply must satisfy the conditions itself. An earlier forwarded message in the same thread does not establish that every later response will be forwarded.
Keep the purpose, destination, and query documented. Review the rule when addresses, roles, or projects change. Deleting the label used during testing does not necessarily remove the forwarding filter.
Do not use this feature to bypass organizational data-handling rules. If a message contains material the destination should not receive, refine the process or use an approved sharing method. A successful filter test is evidence about the examples tested, not permission to disclose every future message that happens to match a broad phrase.
