To keep a local copy of one Gmail message, use Download message on a computer. Gmail downloads an EML file that a compatible desktop email client can open. This is different from downloading a PDF printout or exporting the whole mailbox.
Download the intended individual message
- Open Gmail on a computer and locate the message.
- Check the sender, recipient, date, and subject.
- Open that message’s More menu.
- Choose Download message.
- Find the resulting EML file in the browser’s download location.
In a conversation with several emails, make sure you are using the controls for the intended message. Selecting a thread is not a promise that every message in that conversation has been exported.
Open and inspect the saved copy
Google’s guide says a desktop mail client is needed to open the downloaded EML file. Use a suitable application you trust and check the actual saved content. Do not rename the file to PDF and expect it to become a PDF document.
A preview in a browser or file manager may expose only part of the message. Verify the content and relevant attachments in the appropriate reader before relying on the file for a handover or working copy.
Handle the exported email as private data
The file can contain correspondence, addresses, and embedded material that you should not upload to a public EML viewer. Save it to an approved location, particularly on a shared computer or a device with synchronized folders.
If you attach the EML to another email, review the contents and sharing authority first. Downloading does not create a redacted version, and forwarding a saved message does not independently authenticate the instructions inside it.
For broader mailbox preservation, choose the appropriate account export process rather than manually downloading a few messages and calling that a complete backup. For a formal evidence or retention requirement, follow the organization’s approved process; an ordinary Download message operation does not by itself establish completeness, legal admissibility, or a chain of custody.
