Gmail automatically adds a recipient-specific unsubscribe link to mail-merge messages. That link affects future mail-merge messages from the sending account; it is not a universal block on every email from everyone in the organization.
Understand the recipient’s action
A recipient can use the supplied link to unsubscribe or resubscribe. The sender receives a notification about that change. Google’s guide says Gmail does not provide the sender with a complete list of all unsubscribed recipients through this feature.
For work or school accounts, recipients cannot unsubscribe from senders within their own organization through this mechanism. A missing internal unsubscribe option can therefore reflect the product’s design rather than a damaged message.
Understand the sender-account boundary
The guide says an unsubscribed recipient can still technically receive ordinary messages sent without mail merge, or mail merge from another account in the same domain. That technical distinction is not a reason to move promotional sends to another account to evade the person’s preference.
Keep campaign permissions and opt-out handling consistent with your organization’s process and applicable requirements. A necessary individual service conversation and a repeated bulk promotional campaign are different purposes; choose the appropriate channel and document the reason.
Review the campaign result before sending again
Inspect the sending confirmation for the count of recipients who were excluded because they unsubscribed. Do not assume that everyone in the original source list received the message, and do not manually add excluded people back merely to make the count match.
When testing a campaign, inspect the received footer and make sure normal content or layout changes have not made it difficult to understand. If a recipient wants to change their choice, direct them to the legitimate link in their own message rather than requesting credentials or modifying their account yourself. Keep the sending identity clear so recipients know which communications the preference affects.
