A Gmail label’s sidebar number, visible rows, and individual-message total can describe different things. Unread counts and conversation grouping are common reasons they do not match. Compare like with like before treating the difference as missing mail.
Identify what each number represents
A sidebar badge can indicate unread mail rather than the total number of stored messages. The list may display conversations, with several emails inside one row. A page can also show only part of the result set.
Open one conversation and count its individual messages to see why row totals differ. Changing conversation view changes presentation, so use the same view when comparing two counts.
Run a narrow comparison search
- Search for the label using Gmail’s label selector or a valid
label:query. - Add
is:unreadto compare its unread subset. - Inspect the selected account, active search chips, and page controls.
- Open a few threads to check which individual messages actually carry the label.
Google notes that labels apply to messages and that new replies do not automatically inherit a manually applied label from earlier messages. A conversation visible in the label can therefore contain replies that do not all share the same membership.
Check changes caused by another view or client
Marking mail read can change the badge while leaving the message count unchanged. Another authorized client or a Mark as read filter can produce the same effect. A reply can increase the number of messages without creating a new conversation row.
Do not delete and recreate labels merely to make counts agree. If you can locate the expected messages, the issue may be interpretation rather than storage. If specific mail is absent, search by sender and subject across the account, including Spam and Trash when appropriate, and investigate that missing-message case separately.
For an audit or export, use the tool’s documented message-level accounting and record the scope. A screenshot of one sidebar number is not a reliable inventory of every message associated with a project.
