If Copilot is missing, cannot suggest a formula, or produces a formula that does not calculate, those are different problems. Start by identifying which one you have. You do not need to delete Office licensing folders, clear every document cache, or disable your firewall to diagnose a formula problem.
This guide covers Copilot inside Excel. A conversation in the standalone Copilot website is not a test of whether Excel can edit your workbook.
1. Check the account, Copilot entry point, and mode
Open Excel using the account that has your eligible Microsoft 365 subscription. For a work account, ask your administrator to confirm the assigned entitlement and organizational availability; for a personal account, check the subscription that actually owns the AI benefits. Do not assume that every personal plan is excluded or that buying a separate Pro subscription is the only remedy. Microsoft lists current eligibility in its Copilot in Excel FAQ.
Look for the Copilot icon at the lower-right of Excel, as well as any Copilot control your version shows in the ribbon. Current versions distinguish editing, planning, and chat modes: chat can explain a formula without changing cells, whereas editing can modify the workbook. Confirm the selected mode before treating a missing insertion as a failure. Platform availability can differ. See Microsoft’s current Excel entry point and modes.
For a diagnostic test, use a disposable workbook containing invented values. Keep editing disabled when you only want an explanation. Do not install a similarly named third-party add-in to repair the built-in Copilot feature.
2. Refresh the app and license without erasing local data
- Save pending work and record Excel’s version, update channel, signed-in account type, and the exact message.
- On Windows, check File > Account. If Update License is available, use it, then close and reopen your Microsoft 365 apps after saving.
- Install approved Office updates. On a managed device, have IT handle update-channel changes: the supported desktop channels include Current Channel and Monthly Enterprise Channel, not just Current Channel.
- Check the connected-experience requirements in Microsoft’s missing-button guide. If privacy controls are managed by your organization, ask the administrator to investigate; do not work around the policy.
These steps follow Microsoft’s missing Copilot button guidance. If the button is present and only one calculation fails, move to the workbook test instead of repeatedly refreshing the license.
Do not manually empty OfficeFileCache or Office licensing directories. That is not a formula-specific repair and can affect pending work or activation. If Microsoft support later requests a targeted reset, first confirm what will be removed and how unsynced work will be protected.
3. Separate a workbook limitation from a formula error
Create a new, ordinary .xlsx test workbook in an approved location. Enter Quantity in A1, UnitPrice in B1, and the numbers 2 and 3 in A2 and B2. Select C2 and ask: Suggest a formula for C2 that multiplies the quantity in A2 by the unit price in B2. Explain the formula without changing other cells. The expected result is 6. This is a diagnostic example, not a guarantee of Copilot’s answer.
If Copilot suggests =A2*B2 but the result is wrong, inspect the actual cell values and formula. Check for numbers stored as text, different referenced cells, and calculation settings. Microsoft’s FAQ says editing requires automatic calculation; changing that setting can recalculate other open workbooks, so save first and consult the workbook owner for complex models.
Microsoft documents support for both single-cell formulas and calculated rows or columns in its formula-generation examples. State the destination cell, inputs, and treatment of blanks or errors instead of relying on a particular suggestion button.
If the clean test succeeds, compare the original file’s format, permissions, and message. The current FAQ identifies restrictions such as Strict Open XML and checked-out SharePoint files in desktop Excel. Try a supported copy or the web version where appropriate. Keep the original intact: converting a macro-enabled workbook to .xlsx can remove its macros. Do not remove protection or sensitivity restrictions merely to make Copilot edit.
4. Escalate a repeatable failure with useful evidence
Compare the same harmless test in desktop Excel and Excel for the web using the same eligible account, where both are available. A web-only success points toward the desktop setup; failure across both makes account, organizational policy, service health, or connectivity more relevant. Neither result identifies the cause on its own.
For connection errors, give IT the timestamp, error text, affected platforms, and whether other users are affected. Microsoft’s Copilot network requirements include secure WebSocket connectivity and multiple Microsoft 365 domains. Allowing one Copilot hostname is not a complete network check. Ask the network team to diagnose the required traffic without disabling endpoint protection, certificate validation, or organization-wide filtering.
Send support the smallest reproducible example, not the original confidential workbook. A successful suggestion is only the first check: verify the formula’s references, results for blanks and zero values, and any inserted cells before using it in real work.
