Vision in Microsoft Copilot lets you share visual content during a voice conversation. Before using it, check the signed-in account, what you are sharing, and the privacy documentation for that version of the app. Vision being limited to an active session does not mean every associated recording or transcript disappears when sharing stops.
The current Microsoft guidance describes screen and camera sharing in Copilot. It does not establish the earlier claim that every Teams meeting has a “Vision” toggle or that a Microsoft 365 admin-center “Vision settings” switch governs every experience.
How Copilot Vision Accesses Your Screen
Microsoft’s current getting-started guide covers personal and work or school accounts with the applicable subscription or license. Vision operates during voice chat, using screen sharing on desktop or camera sharing on mobile. Availability can vary during rollout; seeing Copilot in Teams does not establish that this visual feature is available there.
The current Vision explanation describes processing chosen visual input, and in the work experience grounding answers with Microsoft 365 data. It says audio and video are temporarily kept for feedback and deleted after 48 hours, while voice transcripts are stored like text conversations. Do not describe this as memory-only processing with no retained data.
That same page says Vision does not reuse screens or camera input from previous sessions. This is a limitation on recall, not a universal retention guarantee. Ordinary file uploads, conversation history, and your own saved screenshots also require separate consideration.
Configuring Privacy Controls for Copilot Vision
- Check the account and version. Confirm whether you are signed in with a personal Microsoft account or an organizational account. Read the notice shown in the app and your organization’s approved-use policy before sharing business information.
- Prepare a limited test. Open a non-sensitive test item and close unrelated windows. Hide notifications and do not display passwords, recovery codes, personal records, or confidential material that you lack permission to share.
- Start the supported voice experience. Microsoft’s desktop instructions describe starting voice chat, selecting Start screen share, and choosing the entire screen or a specific window. Prefer the smallest useful sharing scope. On mobile, the camera icon starts camera sharing after the required permissions.
- Check the sharing indicator. Confirm that the intended window is shared before asking about it. Avoid opening unrelated sensitive content inside that window while sharing.
- Stop each input you no longer need. Select Stop sharing on desktop, or select the camera icon again on mobile. Microsoft states that stopping visual sharing does not also stop voice chat. End the voice conversation separately when finished.
For an organizational account, ask IT which controls apply to the exact Copilot app and feature. Do not follow an unverified tenant-wide Vision menu path. Microsoft’s enterprise data protection guidance explains organizational commitments and notes that available controls depend on subscription. Access control, retention, auditing, and app governance should be reviewed together.
Common Misconceptions About Copilot Vision Privacy
“Nothing is stored after I stop sharing”
Use the retention statement for your experience. Current Vision documentation describes the temporary audio/video retention and text transcript handling above. The older Copilot Privacy FAQ says Vision images are not stored after the session, but now explicitly limits that FAQ to the app version before the August 18, 2026 update. Do not apply its older promise to every current client.
“Sharing one window gives Copilot access only to that window’s data”
The visual selection limits what you deliberately show. A work Copilot experience may also use separately authorized Microsoft 365 context. Before sharing, consider both the displayed material and the connected organizational data. Sharing an entire screen increases the opportunity for unrelated content to become visible.
“No model training means no history”
These are different questions. Enterprise data protection states that organizational prompts, responses, and Graph data are not used to train foundation models. The current personal-account activity guide also states a foundation-model training exclusion for its covered app, while explaining activity history. Neither means there is no stored conversation.
For the updated personal app, Microsoft’s privacy controls guide explains managing chats and memories. Removing a chat and turning off saved memories are different actions; turning memory off does not remove existing memories. For work records, follow the organization’s retention and incident process rather than deleting evidence after a suspected disclosure.
Vision and Teams Screen Sharing: Privacy Differences
| Question | Vision in Copilot | Teams meeting sharing |
|---|---|---|
| Who receives the content? | Copilot processes the visual input you choose to share | The meeting’s sharing and participant context must be checked separately |
| How do you stop it? | Stop visual sharing; end voice chat separately | Use the meeting’s sharing controls |
| What is retained? | Check the applicable visual, audio, and transcript rules | Check the meeting’s recording, transcript, and retention rules |
Test the sharing boundary with harmless content first. If the app or account differs from the documentation, obtain confirmation of its data handling before sharing sensitive information.
