Check Who Receives a Google Meet Notes Document

Google Meet notes recipients are determined by the host’s sharing configuration, not simply by who attended. An absent invitee may receive access, while an attendee outside the selected group may not. Check the setting before capture and inspect document permissions after generation.

Review Send notes to as a host

In Take notes for me, open Settings and locate Send notes to, which is visible to hosts and co-hosts. The choices include all invited guests, including external invitees; invited guests in the organization; or hosts and co-hosts only. Pick the audience intended for the meeting’s content. The same sharing defaults can be configured in the event’s meeting-record settings.

Distinguish invitees from attendees and groups

Google defines invited guests as the people on the Calendar invitation, including people who never entered the call. Guests added through a group email need individual document access rather than automatically inheriting access under the notes-recipient rule. Instant meetings have a different route: notes are shared with hosts and the person who initiated note-taking. Do not use a participant headcount as your recipient list.

Verify the actual generated document

The notes are saved in the organizer’s Google Meet folder in Drive, and selected recipients receive an email with access. An attachment visible on the Calendar event does not itself establish permission to open the document. Ask the owner to check the recipient’s actual account if access fails. Google’s co-host artifact-sharing guidance says its general artifact checkbox is ignored for Take Notes with Gemini, so confirm notes-specific settings even when recording sharing was already arranged. Before sending a separate recap, review the final document’s audience and any inherited or subsequently granted access. The successful result is the intended people opening the correct notes, not merely seeing an attachment or receiving a forwarded URL.
