Track Guest Responses in Google Calendar

A Google Calendar organizer can review guest responses in the event instead of inferring attendance from email traffic alone. Check the guest list for the relevant version of the meeting. An invitation sent successfully does not establish that everyone has accepted it.

Inspect the guest list

On a computer, open the event and use Edit event when needed. Review the names and response states under Guests. Confirm the event’s date and recurrence context before interpreting a response as applying to the intended meeting.

Separate response channels

Google’s guidance describes response emails and the event’s visible RSVP status as related but distinct. You can change response-email preferences, but disabling an email channel does not mean no one has responded.

The current per-event guidance also notes a special consequence for third-party calendars: turning off guest response emails can prevent tracking those external RSVP states. Avoid treating missing Outlook or other external status as an unambiguous refusal.

Verify critical participation

Check whether the required people have answered and use the approved coordination process when their attendance is essential. Distinguish Maybe from Yes and an unanswered invitation from a confirmed decline. Review time proposals separately rather than assuming an alternative time is already accepted. Keep the participant list appropriate and avoid forwarding invitation messages broadly, since forwarding can affect access and responses. A response review supports meeting planning, while actual attendance and access to rooms, conferencing, or attachments still require their own checks. Check the current event before interpreting older response emails.
