When a guest proposes another time in Google Calendar, the organizer can review that suggestion before changing the meeting. Check the impact on the whole event rather than accepting an alternative solely because it suits one participant. A proposal is a request, not an already confirmed reschedule.
Open the event with the proposal
On a computer, open the relevant event and confirm its date, organizer, and guest list. Google’s response-tracking guidance identifies events containing a proposed time and provides a Review proposed time control beneath the guest list.
Evaluate the alternative
Review the proposed date and time against participant availability, working hours, and time zones. Check any room or resource and consider the duration of the event. If it repeats, determine which occurrence or series scope should change.
Use the review and save controls only when the proposed arrangement is appropriate. Do not assume a guest’s suggestion includes permission to change unrelated meetings or other participants’ calendars.
Verify the recorded schedule
After an accepted change, reopen the event and check its saved start, end, and time zone. Review the update communication and any resource response. If the proposal is not adopted, keep the original event clear and respond through the appropriate coordination route. A successful save is not proof that every guest has read the change or accepted the new time. The organizer’s responsibility is to maintain one understandable current arrangement and avoid leaving the proposed and confirmed schedules indistinguishable in participants’ communications. Check the final saved date explicitly.
