An optional guest in Google Calendar is still invited to the event, but the guest’s participation is distinguished from required attendance. Use that label when it accurately reflects the meeting’s purpose. It is not a privacy setting or a way to hide the invitation from other participants.
Find the guest entry
Open the event on a computer and choose Edit event. Under Guests, inspect the person’s name and email address. Confirm that the correct address was added, particularly if the contact has both a work and personal account.
Mark attendance as optional
Next to the guest’s name, use Mark optional. Google’s guidance notes that the control may appear when you hover over the name. Check the resulting indicator before saving so you do not accidentally apply the change to a neighboring guest.
Keep the event description consistent with that choice. If preparation is compulsory for everyone, calling someone optional while writing contradictory instructions can create unnecessary confusion.
Verify the saved guest role
Save and reopen the event, then inspect the guest list. Review any update-email choice deliberately. Optional status does not establish whether the person will attend, what notifications their calendar will produce, or whether they can access a linked file. Check those questions separately through responses and appropriate file permissions. If a person should not receive the event at all, removing the invitation is a different decision. Use optional participation to communicate a meaningful attendance expectation, not as a substitute for managing audience scope or sharing permissions.
