Google Calendar guests are identified by email address, even when a contact name is shown in the editor. Verify the actual recipient before saving an invitation. A familiar display name is not enough when a contact has several addresses or when someone outside your organization needs to attend.
Add the intended guest
On a computer, create or edit the event. Under Guests, type the person’s name and choose the correct contact, or enter the email address directly. Google’s guidance allows inviting people with an email address even if they do not use Google Calendar.
Review details before saving
Check the date, time zone, calendar, location, conferencing, and guest permissions. Remove unintended addresses before sending the invitation. Be careful with similar names and mailing lists that can include more people than the single colleague you had in mind.
Some event types, including automatically created Gmail events, birthdays, holidays, and sports-calendar entries, do not support adding guests through this ordinary workflow.
Verify the invitation outcome
Save and review the invitation or update prompt. Inspect the resulting guest list, then check responses separately. A saved address is not confirmation that the recipient received the email, accepted the meeting, or can open its attachments. Google’s help documents a limit of 200 directly invited people, with a separate group workflow for larger audiences. Use the appropriate approved communication route for real attendees, and avoid repeatedly adding the same person because an acceptance has not appeared immediately. Check each selected contact address.
