A Workspace administrator may be able to restore Gmail messages permanently deleted within the past 25 days. This administrative window is separate from the user’s ordinary 30-day Trash period and is based on deletion, not the message’s original date.
Check Trash and the deletion timeline first
If the message remains in Trash, use the user’s normal recovery route. Messages ordinarily stay there for 30 days. When that period ends, Google’s administrator guidance describes an additional 25-day recovery opportunity.
If Trash was emptied earlier, establish when the permanent deletion happened. Do not promise 55 days for every case regardless of how deletion occurred. Keep the account, deletion date range, and examples of missing messages.
Restore the eligible date range
With the appropriate user-management privilege, open Directory, Users, find the user, and choose Restore data. Select Gmail and a deletion date range within the last 25 days, then review before starting.
Google says the restore cannot be stopped or paused once started, and restored data can take several days to appear. This is a date-range restoration, not a selective search for one message by subject. Coordinate with the user before launching it.
Understand what this tool cannot restore
The documented exclusions include permanently deleted data beyond the window, deleted Spam messages, deleted drafts, deleted labels, and nested label organization. Data still in Trash uses the Trash recovery path.
If the organization retained eligible mail in Google Vault, an authorized Vault user may be able to search and export it beyond the normal restore window. That does not directly restore it to the user’s Gmail mailbox. Confirm the restored messages in the user’s account and record the actual result. Never claim that retention or a newly applied hold can recover data already irreversibly purged.
