If Gmail looks duplicated after an import, identify the imported set and whether there are genuinely separate messages before cleanup. Repeated jobs and overlapping forwarding can create extra copies, while labels and conversation views can also make one stored message appear in several places.
Record the import boundaries
- Note the source account, import start time, and any import label.
- Check whether the job is still running.
- Review whether it was restarted or another route was enabled.
- Preserve the source mailbox and any verified archive.
Do not begin a second full import to fix an unverified count mismatch. It may make the duplication harder to isolate.
Compare actual messages rather than subjects
Open Gmail on the web and inspect individual messages. Compare sender, recipients, time, content, attachments, and original headers. Message-ID can help, but it should not be the only deletion rule.
A corrected attachment, a resend, and a forwarded copy may share a subject without being interchangeable. Conversely, one message with several labels is not several independent Gmail storage copies.
Fix the source of new copies before old cleanup
Stop or correct only the redundant import or forwarding route after identifying its role. Use a harmless new example to verify that the unwanted extra delivery no longer occurs.
For historical cleanup, review a small bounded selection and preserve required records first. Confirm whether an action affects one message or the conversation, and keep ordinary Trash available while checking the result.
Do not use a mailbox-wide tool that deletes solely by subject, size, or date. It can remove legitimate versions and may require broad access to private mail. A bulk label is useful evidence about a job, not proof that every labeled message is disposable.
For an organizational migration, ask the administrator to reconcile the source and destination with the approved tool’s logs. Completion means the intended records are present once in the appropriate form, not simply that a duplicate-looking search result was made smaller.
