A Workspace alias, a separate Google account, and a Google Group serve different purposes. Choose based on who needs access, whether separate sign-in and storage are required, and how mail should be distributed. Similar-looking email addresses do not imply identical account rights.
Use an alias for another address on one account
A Workspace administrator can assign an alias to a user. Mail to that alias routes to the user’s primary account, and the alias is not another Google login. Sending from it may require the appropriate Gmail configuration.
An alias does not automatically provide an independently owned mailbox, password, or separate quota. Do not give several people one user’s password because a role address is attached to that account.
Use a separate account when independent access matters
A separate account has its own identity, authorization, and mailbox arrangements. Adding it to the Gmail app can make switching convenient, but does not merge ownership, recovery information, or stored messages.
For organizational access by several people, ask the administrator about approved delegation or shared-work arrangements rather than inventing a shared personal login. Account licensing and policy are administrative decisions.
Use a group for an appropriate distribution workflow
A group address can distribute messages according to membership and posting settings. It should not be assumed to behave as a separately signed-in Gmail user mailbox. Group archives, access, and sending permissions depend on its configuration.
- List who needs to receive and respond to mail.
- Identify who should own access and recovery.
- Decide whether messages need one retained mailbox or member distribution.
- Have the administrator confirm the supported arrangement.
Test receiving, sending identity, and replies with harmless mail. An address receiving a test successfully does not establish that every member can send as it or access past messages.
Do not use aliases or groups to evade quotas, bypass disclosure controls, or conceal the actual operator. Document the chosen model so future users know whether they should sign in to a primary account, switch to another account, or use a group workflow.
