If legitimate Gmail messages repeatedly land in Trash, a Delete it filter is one possible cause. Locate one affected example, then inspect matching rules and connected clients. Restore mail carefully while fixing the cause; do not empty Trash during the investigation.
Find an affected message and preserve the window
Open Trash or search with in:anywhere and a known sender or subject. Confirm that the message is actually in Trash rather than merely archived or in Spam.
Gmail’s normal deletion guidance provides up to 30 days before automatic permanent removal, with manual permanent deletion possible sooner. Move an important mistakenly deleted message out of Trash promptly after verifying it.
Inspect every plausible delete rule
- Open Settings, See all settings, then Filters and blocked addresses.
- Find filters whose actions include Delete it.
- Run each candidate’s criteria as a search against the affected message.
- Edit or remove the specific rule that explains the behavior.
A broad subject word or old sender condition may catch mail you did not anticipate. Another filter may still label the same message correctly, so the presence of a useful label does not rule out an additional delete action.
Test the fix and investigate other clients if needed
Use a harmless new message matching the corrected conditions. Confirm that it stays in the intended location. Editing a filter does not automatically restore all previously deleted mail; search for and recover the affected historical messages separately.
If no filter explains the deletion, inspect Outlook, Apple Mail, phone clients, and authorized services that can manage the mailbox. Their delete actions can synchronize to Gmail. An unfamiliar app authorization or forwarding change warrants a Google Account security review.
Do not delete all rules, disconnect every client, or clear local app data without identifying the cause. Those steps can interrupt legitimate operations and lose unsynchronized work. Keep a dated note of the rule or client setting changed, and verify that important records remain available afterward.
