Gmail can print one message or every message in a conversation. Choose the scope inside Gmail before using the browser or operating system’s print dialog. Printing the browser page directly can include navigation and produce a less useful result.
Print one message
- Open the conversation in Gmail on a computer.
- Expand the specific message and confirm its sender and date.
- Open that message’s More menu and choose Print.
- Review the print preview before choosing a printer or a PDF destination.
If the message contains quoted history, inspect whether that history appears in the preview. Selecting one message does not necessarily mean that its body contains only new text.
Print the whole conversation
Open the conversation and choose Print all at its top right. Check the preview’s page count and first and last pages. A long exchange can produce many pages, including repeated quoted material.
On iPhone or iPad, Google’s Gmail instructions distinguish Print for the individual email from Print all for the conversation. Printer availability and PDF-saving controls belong to the device’s print system and can vary.
Respect restrictions and private information
Confidential mode can prevent printing message text and attachments. Google also lists printing among CSE feature restrictions. A missing print option in those cases should not be bypassed by uploading the message to another service.
An attachment is a separate file. Review whether you need to print it separately and whether you are authorized to open it. Do not download an unexpected attachment merely because the email itself prints successfully.
Before saving a PDF, check recipients, account details, and quoted personal information in the output. Save sensitive copies to an approved location, use an appropriate printer, and retrieve paper promptly. A printed copy is a new disclosure surface; it is not protected simply because the original message remains inside your Gmail account.
