A reliable weekly report needs a defined reporting period, trustworthy source records and a review step. Notion AI can help draft the narrative, but a linked database view or a duplicated template does not by itself generate an accurate new report.
This workflow keeps a person in control: create a report page from a reusable template, ask Notion Agent for a source-linked draft, and review it before sharing. A scheduled Custom Agent is a separate option for background generation.
Define What This Week’s Report Means
Choose explicit start and end dates and a timezone. For a Monday report, you might cover the previous Monday 00:00 through the following Monday 00:00, excluding the end instant. That avoids counting boundary items twice. Write the period on the report rather than leaving it as an ambiguous “last week.”
Use the right date for each claim. A Completed date supports “finished during the week”; a Due date supports “was due”; a last-edited timestamp only proves that some edit occurred. If your tracker lacks completion dates or historical status records, do not ask AI to reconstruct a precise history from today’s status alone.
Confirm your access to Notion AI. Business and Enterprise include AI access, while Free and Plus can have complimentary responses. Limits and administrator controls may still apply; the old instruction to buy a universal AI add-on is not the current default route.
Create a Reusable Weekly Report Template
Create a Reports database with properties for period start, period end and review status. In the dropdown beside New, create a template. Add sections for completed work, current blockers, overdue work, next priorities and source links. Leave the narrative blank rather than storing last week’s generated text in the template.
You may include a linked view of the task database as a convenient review aid. Set explicit filters matching the report’s period and inspect the records yourself. Treat a filter as a way to organize the view, not a guarantee that the AI can access only those rows or visible columns.
To create an empty report page automatically each week, open the template’s menu and configure Repeat. Notion’s repeating-template guide describes this feature. It creates a page from the template; it does not promise to run a fresh AI prompt. Native recurring reminders are not currently supported.
Generate a Draft From Explicit Sources
Open the new report page and Notion Agent. Attach or @-mention the intended task database and any approved supporting pages. Request a draft in chat first, without editing the source database.
Draft a weekly report using the attached Tasks database for the period shown on this report page. Use Completed date for completed work. Separately identify unfinished tasks overdue at the period end and current blockers, labelling current-state information clearly. Include the source page for each substantive claim. Do not infer missing dates or invent progress. List missing evidence and conflicting records. Return the draft here; do not change Tasks.
Replace the property and database names to match your workspace. If the assistant cannot reliably identify the requested records, provide a small approved extract instead of broadening the request until it guesses. Review the draft before copying it into the report page.
For sensitive work, use permissions and a sanitized source. Hiding an Internal Notes column is not a privacy boundary; information in accessible pages may still be available to the assistant.
Review and Preserve the Report
Check every completed item, owner, deadline and risk against the linked source. Independently verify totals. Distinguish “no matching records” from “could not retrieve the data.” If AI omitted records, correct the source selection and regenerate the affected section rather than trusting a polished summary.
After approval, mark the report reviewed and retain its fixed text and reporting dates. A live linked view continues to reflect later database changes, so it is not a historical snapshot by itself. If you need audit evidence, keep an approved extract or another controlled snapshot with the report according to your organization’s data policy.
Once the manual workflow is dependable, consider a scheduled Custom Agent for creating drafts. That adds separate trigger, access and credit considerations. Keep sending to stakeholders separate from drafting until the output has been reviewed; automation does not remove responsibility for the report’s accuracy.
