Gmail can use a filter to send a saved template as an automatic reply to matching incoming mail. This is different from a vacation responder or a timed recurring email. Define the matching rule narrowly before enabling a response that will run without your review.
Prepare the exact response first
In computer Gmail, enable Templates under Advanced settings if necessary. Create and save the reusable response, then insert it into a test draft to check its actual wording.
Remove private case information, uncertain promises, old contact details, and anything that must be checked by a human. The same text may be sent to multiple matching senders. A useful automatic acknowledgment should not pretend that a person has already read or approved the request.
Test the filter’s selection
- Open Show search options in Gmail’s search bar.
- Enter the intended matching criteria.
- Run the search to inspect which existing messages match.
- Return to the search options and choose Create filter.
- Select Send template, choose the reviewed template, and finish creating the filter.
The test search helps reveal a rule broader than you intended. A generic word that occurs in ordinary conversation may select unrelated requests. It is safer to understand the matching set before turning on an automatic reply.
Verify future behavior and preserve a stop path
Use a harmless test from an address you control and check the actual received response. Do not assume a test search retroactively sends replies to all messages it finds. The documented setup connects a filter with a template; the incoming-message match is the trigger.
Record which filter sends which template so that you can stop or update it later. If another automated mailbox replies to your response, review the rule rather than allowing unexpected exchanges to continue.
For an organization, check the approved response wording and automation policy. Do not include passwords, personal records, or information that should be released only after verification. Keep a manual process available for requests requiring individual judgment.
