When Gmail refuses to save a signature because it is too long, a short-looking footer may still contain an image or complicated pasted material. Google’s documented limit is 10,000 characters, and images count toward it. Judge the saved signature as a whole, not just the visible words.
Preserve the approved content before simplifying it
Copy the wording somewhere you control and note the intended links and approved image. Do not delete every saved signature as the first repair. If your employer requires a disclaimer, obtain a shorter approved version rather than silently removing required information.
Check the particular signature selected in General settings. A different variant or Send mail as address may contain the oversized footer, even when your usual signature is small. Work on the named entry that actually triggers the error.
Reduce components in a controlled order
- Remove genuinely repeated wording and surplus empty paragraphs.
- Use Gmail’s formatting controls to simplify heavily styled pasted text on your working copy.
- Reduce the number or size of decorative images; keep essential details readable as text.
- If necessary, rebuild a minimal signature by typing the core wording directly into the editor.
- Save and add back only the components you need, checking the result at each stage.
Google’s signature troubleshooting guide supports removing formatting when a signature displays incorrectly. That is a useful simplification step, but it does not establish that every save error has the same hidden-formatting cause. Do not rely on an external character counter to assess an image-bearing signature completely.
Verify more than successful saving
After the signature saves, open a fresh message and a reply. Check the footer’s actual wording, link targets, and image display in a received test. A shortened signature that now points to an old website is not a complete fix.
Retain a concise text version for circumstances where richer formatting is unsuitable. Avoid an image containing all your contact details: it can be inaccessible or absent when the recipient blocks images.
