Multiple Gmail signatures let you choose a suitable closing for a particular message without repeatedly rewriting your settings. They do not, by themselves, create rules that recognize every recipient and choose a signature automatically.
Give each saved signature a clear purpose
On a computer, open Gmail’s full settings and find Signature under General. Create separate named signatures for the uses you actually need, such as a full professional footer and a brief reply footer. Choose names you can recognize in the signature picker.
Set the defaults for new messages and replies deliberately, then save the settings. If authorized Send mail as addresses are also present, check the defaults associated with each address. The visible signature name is for managing the saved choice; it need not be the wording inserted into the email.
Choose a different signature while composing
In a draft, use the Insert signature control near the bottom of the compose window and select the appropriate saved entry. Inspect the result before sending, especially if you already pasted a closing or inserted a template.
Do not assume a change to the selected signature has removed every manually pasted copy of an old footer. Check that the final message contains one intended closing and the correct contact details. If you use different From addresses, inspect that field independently; choosing a footer is not a substitute for selecting the sender.
Maintain defaults without losing useful variants
When your role or contact information changes, review every saved signature that contains it. Editing the default alone can leave an occasional-use variant outdated. Test both a new message and a reply after saving changes.
Delete a variant only when you no longer need its wording, and retain any required approved copy elsewhere. Mobile Gmail has its own signature settings, so treat this web signature library and the phone’s configured footer as separate checks. The useful outcome is a controlled choice for each message, not a growing list of nearly identical signatures that you cannot confidently distinguish.
