A table copied into Gmail can lose layout because it carries formatting from a spreadsheet, document, or website that the mail composer and recipient’s client handle differently. Preserve the data first, then simplify the presentation rather than treating a visual match on one screen as proof of correctness.
Check content separately from appearance
Keep the original table and compare row labels, values, units, dates, and totals after paste. A shifted column can make accurate numbers mean something different. Do not send a table whose relationships you cannot confidently verify.
Identify the source and the account or app used to compose. If a simple new passage looks normal, focus on the copied table rather than resetting the whole browser or changing Gmail’s default font.
Use a simpler email layout when possible
For a small amount of information, a short list with explicit labels can survive narrow screens better than many tightly packed columns. Rebuild the important entries in a clear order and check that none were lost in conversion.
Avoid using repeated spaces to imitate a rigid grid. Proportional fonts, mobile wrapping, and plain-text viewing can break that alignment. An image of the table can also be inaccessible or unreadable; include essential information in text.
Consider a document-based route
Google’s writing guide points to Google Docs for advanced formatting and tables. Its Email draft building block lets you prepare a message in Docs and preview it in Gmail where supported. The current guide specifies an English account-language prerequisite for that preview route; do not assume it is available in every configuration.
You can instead send an appropriately shared document or a suitable attachment when preserving the table matters more than embedding it. Confirm access permissions and avoid exposing an entire confidential workbook when the recipient needs only a limited extract.
Verify the received version
Use a non-sensitive test in the relevant receiving app and at a normal mobile width. Compare the data again, not just borders and colors. If the layout still cannot be trusted, choose the clearer document or text alternative before sending the real figures. Gmail formatting controls do not promise identical rendering in every email client.
