If the OST file is corrupt, a profile rebuild does not repair it. The new profile still points to the same corrupt OST file. The sync problem persists because Outlook continues to use the damaged local copy. This is the most common reason why profile rebuilding fails to fix sync issues.

Other causes include server-side mailbox corruption, autodiscover configuration errors, and network connectivity problems. A profile rebuild does not affect these components. You must address the root cause directly to restore proper sync.

Steps to Fix Sync Problems After a Failed Profile Rebuild

Use the following methods in order. Each method targets a different possible cause. Test sync after each step before proceeding to the next.

Method 1: Delete the Corrupt OST File and Let Outlook Recreate It

This is the most effective fix when a profile rebuild does not resolve sync problems. Deleting the OST file forces Outlook to download a fresh copy of your mailbox from the server.

  1. Close Outlook completely
    Make sure Outlook is not running. Open Task Manager and end any Outlook process if necessary.
  2. Open Control Panel and go to Mail
    In Windows 11 or Windows 10, open Control Panel and click Mail (Microsoft Outlook). If you do not see it, change the view to Large Icons or Small Icons.
  3. Click Show Profiles
    Select your current profile and click Properties. Then click Data Files.
  4. Locate the OST file path
    In the Data Files dialog, select the Outlook Data File with the type Offline Outlook Data File. Click Open File Location. File Explorer opens to the folder containing the OST file.
  5. Close Outlook and rename the OST file
    Right-click the OST file and choose Rename. Add .old to the end of the filename. For example, rename username@domain.com.ost to username@domain.com.ost.old.
  6. Restart Outlook
    Open Outlook. It creates a new OST file and starts downloading your mailbox. This process may take several minutes depending on mailbox size.

After the new OST file is created, test sync by sending yourself a test email and checking if it arrives in both Sent Items and Inbox on all devices.

Method 2: Run the Inbox Repair Tool on PST Files

If you use a POP3 account or have an archive PST file, the Inbox Repair Tool (ScanPST.exe) can fix corruption that a profile rebuild does not address.

  1. Close Outlook
    Ensure Outlook is not running.
  2. Locate ScanPST.exe
    In Windows 11 or Windows 10, go to C:\Program Files\Microsoft Office\root\Office16 for Microsoft 365 or Office 2019/2021. For Outlook 2016, use C:\Program Files (x86)\Microsoft Office\Office16. The file is named SCANPST.EXE.
  3. Run ScanPST.exe
    Double-click the file. Click Browse and select your PST file. Click Start to begin the scan.
  4. Repair errors
    If ScanPST finds errors, click Repair. The tool creates a backup file with a .bak extension. After repair, open Outlook and check sync.

Method 3: Disable and Re-enable Cached Exchange Mode

If the OST file is not corrupt but the sync settings are misconfigured, toggling Cached Exchange Mode can reset the sync relationship.

  1. Open Outlook and go to File > Account Settings > Account Settings
    Select your Exchange or Microsoft 365 account and click Change.
  2. Uncheck Use Cached Exchange Mode
    In the Offline Settings section, uncheck the box. Click Next and then Finish. Restart Outlook.
  3. Re-enable Cached Exchange Mode
    Go back to the same account settings and check Use Cached Exchange Mode. Set the slider to All or a reasonable time period. Click Next and Finish. Restart Outlook.

This forces Outlook to rebuild the sync relationship with the server. Test sync after this step.

Method 4: Repair Your Microsoft 365 or Exchange Mailbox Using the Server

Server-side mailbox corruption requires an administrative action. If you are not an admin, contact your IT support team. If you are the admin, use the Exchange admin center or Microsoft 365 admin center to run a mailbox repair request.

  1. Sign in to the Exchange admin center
    Go to admin.exchange.microsoft.com and sign in with your admin credentials.
  2. Go to Recipients > Mailboxes
    Select the affected user mailbox and click the Mailbox repair tab.
  3. Run a mailbox repair request
    Click Start repair. Select the checkboxes for all corruption types: Search content, Folder view, Aggregate count, and Provisioned folder. Click Start.
  4. Wait for completion
    The repair runs in the background. After it finishes, ask the user to restart Outlook and test sync.

Go to OWA, click Settings > Mail > Rules, and delete any rule that moves or copies Sent Items. After deleting the rule, test sync again.
