Steps to Set the Default Calendar Account in Outlook for Windows

The following steps work for Outlook 2016, 2019, 2021, and Outlook for Microsoft 365 on Windows 10 and Windows 11.

  1. Open Account Settings
    In Outlook, go to File in the ribbon menu. Click Account Settings and then select Account Settings again from the dropdown menu.
  2. Select the Email Tab
    In the Account Settings dialog, click the Email tab if it is not already active. This tab lists all email accounts configured in your Outlook profile.
  3. Change Account Order
    Select the account you want to be the default for calendar. Use the Move Up or Move Down buttons on the right side of the dialog to move that account to the top of the list. The account at the top becomes the primary account and its calendar will open by default.
  4. Apply and Restart
    Click Apply and then OK. Close Outlook completely and reopen it. The Calendar view should now open with the calendar from the account you moved to the top.

If the calendar still does not show the correct account, check that the account you moved to the top is an Exchange account or an account that supports calendar sharing. POP3 and IMAP accounts may not have a full calendar feature in Outlook.

Set Default Calendar in Outlook on the Web (OWA)

For Outlook on the web, the process is different because account order is not configurable. Instead, you set a default calendar directly.

  1. Open Calendar
    Sign in to Outlook on the web (outlook.office.com) and click the Calendar icon in the navigation pane on the left.
  2. Go to Settings
    Click the gear icon in the top-right corner of the page. In the Settings panel that opens, click View all Outlook settings at the bottom.
  3. Select Calendar Settings
    In the Settings window, click Calendar in the left pane, then click General and select Calendar again from the submenu.
  4. Choose Default Calendar
    Under the Default calendar dropdown, select the calendar you want to appear first. Click Save at the top of the settings panel. The change takes effect immediately.

What to Do If the Default Calendar Does Not Change

In some cases, the default calendar setting may not apply correctly due to cached data or group policy restrictions. The following sections address the most common problems.

Outlook Still Opens the Wrong Calendar After Reordering Accounts

If you moved an account to the top but the Calendar view still shows a different account, Outlook may be using a cached view. Close Outlook, open the Control Panel, and go to Mail (32-bit) or Mail. Click Show Profiles, select your profile, and click Properties. Under Email Accounts, verify the account order matches what you set in Outlook. If not, reorder there and restart Outlook.

Default Calendar Option Is Grayed Out in Outlook on the Web

This happens when your account is managed by an organization that enforces a default calendar via group policy or Exchange ActiveSync policies. Contact your IT administrator to request a change. If you have a personal Outlook.com account, this setting is always available.

POP3 or IMAP Account Shows No Calendar

POP3 and IMAP accounts in Outlook do not have a native calendar. If you need to use a calendar with such an account, you must add an iCloud, Google, or other calendar via the Open Calendar > From Internet option.
