Gmail’s vacation responder answers incoming email with an absence message. A Google Calendar out-of-office event manages availability and meeting responses. Set the feature that matches the problem, or configure both deliberately when you need both outcomes.
Use Gmail for the email response
The vacation responder has its own date range, subject, message, and available recipient restrictions in Gmail settings. Google normally sends the reply on a sender’s first contact during the active period, with repeat exceptions.
This tells correspondents what you chose to communicate. It does not, by itself, create a Calendar absence block or establish that meeting invitations will be declined. Review the saved responder and its stop date independently.
Use Calendar for meeting availability
For eligible work or school accounts, Calendar offers an Out of office event. On a computer, use Create → Out of office, set the dates or times, review decline settings and the decline message, and save.
The feature can be unavailable because of account eligibility or organization settings. A regular calendar entry with “out of office” typed into its title is not necessarily the special event type with its meeting-response behavior.
Recurring working hours are another distinct Calendar setting. They describe your regular weekly availability; they are not a replacement for the text of Gmail’s automatic absence reply.
Check status visibility and both date ranges
Google says eligible work or school accounts can show Calendar absence status in Gmail. Its guidance requires the out-of-office event to cover the whole day or extend past regular working hours, and the sender must have access to your calendar to see the status.
That status display is not proof that every outside sender will receive your chosen vacation-response text. Inspect each feature’s settings and audience separately, including the time zone used for the calendar event.
Before leaving, verify a controlled email response and a relevant meeting scenario without disrupting real appointments. When you return, check both systems. Ending the Gmail responder and changing a Calendar event are separate actions, so do not assume that changing one automatically clears the other.
