When Gmail substitutes a Drive link for a large attachment, the recipient receives access to a separately controlled file rather than a self-contained copy inside the email. Check the resulting object and its permissions before assuming the recipient can use it.
Understand why the substitution occurred
Google’s current attachment guide says Gmail removes attachments and inserts a Drive link when their total exceeds the applicable size limit. Personal Gmail lists 25 MB; work and school limits depend on the organization’s configuration and the relevant edition or interface.
You can also insert a Drive link deliberately using the Drive control in the compose window. For files created in Docs, Sheets, Slides, or Forms, Google’s documented insertion method uses a Drive link rather than the ordinary attachment-copy option.
Review what the recipient is authorized to do
Gmail checks recipient access for Drive files and can prompt you to adjust sharing. Read that prompt carefully. A narrowly shared file and Anyone with the link have different consequences, particularly if the email is forwarded.
If the file is confidential, keep access restricted to the approved recipients and choose the appropriate role. An administrator may prevent external sharing, and the original owner may need to approve changes. The email sender does not necessarily have authority to broaden access.
Explain the difference to recipients
Tell the recipient when a link is intentional and which file to use. If you later change the source document, rename it, remove access, or replace it with a different version, verify the link’s actual behavior rather than treating the sent email as a permanent downloadable snapshot.
A person who already downloaded an authorized copy may retain it separately. Revoking access to Drive does not retrieve those external copies. Conversely, retaining the email does not guarantee continuing access to the live file.
If the recipient’s process requires a fixed attachment, verify whether an approved smaller export or another transfer method is acceptable. Do not alter access broadly or split information into uncontrolled copies simply to make the email resemble an ordinary attachment.
