Review Meeting Capture and Sharing Before Discussing Sensitive Information

Before discussing sensitive information in Google Meet, check what the meeting is capturing and who can receive the resulting material. Recording, transcription, and AI note-taking are separate features with different outputs and sharing settings. Encryption protects a communication path, but it does not decide whether the intended recipients should retain the content.

Check the active capture features

Ask the host whether recording, transcription, or Take notes for me is enabled, including any automatic meeting-record settings. Review visible warnings and feature indicators. Google documents administrator options for explicit consent, but those prompts are not enabled universally. Do not assume the absence of a consent dialog proves that every capture feature is off.

Review the output and recipient settings

A recording can include the active speaker and presented content. A transcript contains spoken words rather than automatically including meeting chat. AI notes create another document, and their recipient options can include invited guests who did not actually attend. Google’s note-taking guidance also describes optional screenshots of presentation-like material. Check the selected audience and relevant settings rather than assuming the output stays only with the people currently visible.

Resolve concerns before sharing the material

Agree which content can be discussed, captured, and distributed under your organization’s rules. If a necessary setting is unclear, pause the sensitive part and ask the authorized host or administrator to resolve it. Do not rely on a private meeting link to guarantee restricted access to every later document. External copying by an attendee is a separate consideration from Meet’s built-in controls. After the meeting, verify sharing permissions on the actual authorized artifacts before distributing them further, and avoid promising that stopping a feature automatically deletes material already created.
