Google Sheets Dropdown Is Missing Options: Check the Validation Rule and Source Range

A missing dropdown option usually needs a validation-rule check. Determine whether the cell uses a typed list or values from another range before editing the visible source data.

Open the rule for the affected cell

Select the cell and open Data > Data validation, or use its dropdown editing control. Check the rule’s applied range so you do not accidentally edit a similar rule elsewhere.

Under Criteria, a Dropdown contains individually entered items. Dropdown from a range uses the referenced cells. Adding a value to an unrelated list will not update the affected cell’s actual rule.

Repair the correct source

For a typed list, add the missing item in the rule. For a range-based list, inspect the referenced range and whether its boundary includes the new option. Remove unintended leading or trailing whitespace from intended options.

Google notes a special case for deleted source values with assigned colors: an old value and color can remain in the criteria as uneditable. Review the documented range or item-color adjustment instead of assuming the source deletion was ignored universally.

Test existing and new entries

Apply the rule and open the dropdown in a representative cell. Confirm the new option appears and other required options remain. Check another row at the edge of the applied range.

Decide separately whether invalid input should be rejected or merely warned about. Adding an option does not automatically validate every historical entry. If multiple selection is enabled, remember that current mobile behavior differs from desktop behavior; a missing ability to select several values on a phone is not necessarily a broken source range.
