Gmail mail merge is not available to every Gmail account. A large contact list, a custom domain, or an ordinary Google Account does not by itself establish eligibility. Check the signed-in account and the supported sending workflow before troubleshooting a missing control.
Compare your Workspace edition with the current list
Google’s current mail-merge guide lists Workspace Individual; Business Standard and Plus; Enterprise Standard and Plus; and Education Standard and Plus. Do not assume that every paid Workspace edition or a Google AI subscription includes this particular feature.
Open Gmail on a computer in the eligible account. Start a new message or open a suitable draft and look for Use mail merge beside the To line. Mail merge replaces the older multi-send mode, so an old tutorial may show a different name or icon.
Check whether the draft type is supported
Google’s guide excludes replies, forwards, scheduled sends, confidential-mode messages, and plain-text messages from mail merge. Test with an ordinary new rich-text draft rather than repeatedly trying the same unsupported composition.
Review the sender identity as well. The guide says mail merge cannot be used to send from a different domain, including secondary domains or domain aliases you own. A legitimate alternate address does not guarantee compatibility with this feature.
Escalate an eligibility problem precisely
If the control remains absent, record the exact Workspace edition, selected account, desktop access method, draft type, and sender identity. Ask an administrator or official support about that combination. Avoid installing a third-party mailer merely because its name resembles Gmail’s built-in tool.
Do not send the campaign as an ordinary mass Cc message while investigating; that changes recipient visibility and unsubscribe behavior. Keep the message as a draft until you have a suitable, authorized sending method and have tested its personalization with controlled addresses.
